Asset identity & classification

Establish a unique, searchable record and standardize the asset description.

Asset Number *The unique identifier approved by Nama Water Services. Do not create duplicate asset numbers. Source Record IDReference from the existing client register, if available. This supports traceable reconciliation. QR / Barcode ValueValue encoded in the QR or barcode. Keep it unique and stable. Asset Description *Use a clear, recognizable description. Avoid vague entries such as ‘item’ or ‘equipment’. Asset ClassHigh-level class used for reporting and QA sampling. Controlled CategorySelect the closest controlled equipment type. Use ‘Other’ only when no approved category applies. Asset SubclassUse where the approved taxonomy includes an additional level. Asset Type / VariantRecord a useful variant without repeating the full description. ManufacturerRecord the name shown on the asset or manufacturer plate. ModelUse the exact model where legible. Serial NumberRecord exactly as shown on the manufacturer plate. Use ‘Not Available’ only after checking the asset. QuantityNormally one record per individually controlled asset.

Physical location

Link the asset to the approved national location hierarchy and the exact observed area.

Region *Selecting a region filters the official site schedule. Official Location / BuildingRecord the actual physical location observed during verification, not the location shown only in the old register. Controlled Room / SpaceLinking a controlled room enables 360° context and room-level batch label printing. Building NameUse this only for clarification or records not yet linked to a location ID. Floor / LevelAuto-filled from the controlled room when one is selected. Department / FunctionAuto-filled from the controlled room where available. Room / Exact LocationAuto-filled from the controlled room and retained as a readable handover field. CustodianRecord only where requested or confirmed by the site representative. Ownership StatusDo not assume ownership where evidence is unclear.

Condition & operational assessment

Record a practical, non-intrusive observation using approved controlled values.

Physical Condition *Visual physical condition. This is a non-intrusive assessment and not a specialist technical inspection. Operational Status *Observed or confirmed operating status. Do not dismantle or test equipment without written authorization. Existing Tag StatusDescribe the label found before new tagging work.

Reconciliation & exception control

Classify how the physical finding relates to the existing register and assign any required action.

Tag production, installation & scan confirmation

Maintain one-to-one linkage between the approved asset record and the physical label.

Tag NumberUnique printed tag identifier. It may match the asset number if this is the approved numbering convention. Tag BatchProduction batch supports label stock and reprint traceability. Tag MaterialRFQ basis: polyester label, silver or white, minimum 100 microns. Tag PositionDescribe where the label was installed so that it can be found and scanned consistently in future audits. Applied ByPerson who physically installed the approved tag. Applied AtDate and time of installation where tracked.

Tag PrintedContent visually checked before release. Tag InstalledSurface prepared and label securely affixed. Scan VerifiedInstalled label scanned against this record.

Verification & quality acceptance

Record accountability for field work and independent quality review.
